How I Build Bulletproof HighLevel Setups for New Agencies

So I’m gonna walk you through the core setup checklist I use for every new agency I help launch on HighLevel. 

These are boring-sounding things like domains, email, SaaS plans, and branding, but skip them and you’ll regret it later.

Let’s dig in!

Step 1: Nail Your Agency Configuration

Before you do anything else:

  • 🔒 Set your agency default settings timezone, currency, user roles
  • 🌐 Add a custom domain for your agency portal
  • ✉️ Set up SMTP and mailgun properly (don’t rely on the defaults!)

This stuff may sound dry, but it’s mission-critical. Trust me, nothing kills your onboarding flow faster than emails not sending or links going to the wrong domain.

Pro Tip: Make sure your email deliverability is dialed in before onboarding clients. Otherwise you’re going to look like a rookie and that’s hard to come back from.

Step 2: Set Up SaaS Mode (Yes, Even If You’re Not Ready to Scale Yet)

I know SaaS Mode sounds like a “someday when I grow up” kind of feature. 

But if you set it up early, you’re setting yourself up for scalable growth right now.

Here’s what I do:

  • 🧱 Create simple pricing plans even if it’s just one or two packages to start
  • 🔄 Connect Stripe correctly (seriously, double-check your webhook events)
  • 🤖 Add automation for trials, cancellations, and upgrades

Step 3: Make It Actually Look Like Your Brand

The default HighLevel setup works fine out of the box, but fine doesn’t stand out.

Here’s what I change immediately:

  • Upload your logo and favicon
  • Customize your login URL and dashboard colors
  • Add a custom knowledge base link or help doc

These little touches make a big difference. 

Your clients feel like they’re using your software (not some third-party tool you Frankensteined together).

Your brand is your moat. Make sure it’s front and center in every client touchpoint.

Bonus Tips That’ll Save You Headaches Later

Here’s some rapid-fire setup advice that I wish someone gave me when I started:

  • 📨 Authenticate your email domain with SPF, DKIM, and DMARC (you’ll thank me later)
  • 📁 Create template snapshots for faster onboarding
  • 🛑 Turn off HighLevel default notifications unless you love inbox spam
  • 📦 Label your custom fields and pipelines clearly (future-you will appreciate it)
