The Fix: Create Your Own Smart Reminder Flow with Workflows
Mario dropped a brilliant workaround during the session, and I’ve already started rolling it into some of my own projects.
Here’s the high-level version:
- Use Workflow Triggers:
- Start with a trigger like “Invoice Sent” or “Document Sent.”

- Set Up Wait Steps + Conditional Checks:
- Add a wait step (e.g. 1 day, 2 days), then a conditional check:
Has the document been signed yet?
- If yes: exit the workflow.
- If no: send a follow-up reminder.

- Loop It (Carefully):
- You can repeat the process a few times over a set period to nudge them without being annoying.

It’s not native, but it’s clean, smart, and it works. You’re creating a proactive follow-up system without having to babysit every single document.

This is one of those things that seems small—but if you’re sending out a lot of proposals or agreements through HighLevel, it’s huge.
Delays cost money. And automating your follow-ups (even if it’s a workaround) keeps your pipeline moving.
Until HighLevel builds this in natively, this workflow hack is your best bet.
