When I build bots, I’m not just trying to answer questions. I want my bot to qualify leads, book appointments, and escalate when it gets stuck. 

That means the setup starts with strategy, not just dumping random info into a Google Doc.

Think of it like hiring an intern. If all you give them is a stack of messy notes and say “figure it out,” you’re gonna have problems. But if you train them right, they become a rockstar.

Build a Personality That Makes Sense

Here’s one fun example from a dog grooming biz I worked on: 

We gave the bot a playful voice full of dog puns (yep, it said stuff like “pawsome!”), but made sure it still stayed professional when it came to booking, service policies, and care instructions.

Why it works: It aligns with the brand and keeps the human on the other side feeling like they’re in good hands (or paws 🐶).

Use Qualification Scripts (They’re Magic)

A good bot doesn’t just answer, it guides. Add questions like:

• “What breed is your dog?”
  
• “Does your pet need any special care during grooming?”
  
• “Would you like to schedule your appointment for this week?”

These keep the convo moving and filter out tire-kickers.

Train Smart — Not Hard

🧠 Centralize your training data
Don’t upload your whole website and pray. Instead, create a single Google Doc with:

• Simple headers like “Pricing,” “FAQs,” “Services”
  
• Clear, short answers
  
• NO conflicting info (seriously, bots hate that)

💬 Use real conversations
Go back through past chat logs. What questions do people ask? Where does the convo break down? That’s the stuff your bot needs to be trained on.

🧪 Test. Break. Fix. Repeat.
Don’t just build it and bounce. Interact with the bot daily. Try to confuse it. Make it escalate. Pretend you’re an angry customer. This helps you tighten the screws and avoid awkward moments later.

Real Talk: Your Bot is Only as Good as Your Prompt

AI isn’t magic. It’s smart, but it’s also very literal. 

So if your prompts are vague or lazy, you’re gonna get trash responses.

Write like you’re talking to a brilliant, but easily confused, child. 

Give it step-by-step directions, clear goals, and some backup rules (like “if confused, escalate to a human”).
