Stop Drowning in Chaos: How to Scale Snapshots

If you’re anything like me, you got into SaaS or SWAS because you saw the potential for scalable systems. Less grunt work, more recurring revenue. But there’s a hidden trap we all fall into… 😬

We start building these massive, bloated snapshots thinking “I’ll need this someday.”

Then comes the chaos:

  • Workflows that don’t fire right
  • Clients asking “why is this button here?”
  • Your team quietly plotting your downfall in Slack

Let me save you some headaches (and Slack mutinies). I just got off a HighLevel training call with Mario Aldayuz (Head of Partnerships at HL Pro Tools) and Michael (a strategy ninja inside HighLevel). Together, we unpacked exactly how to build, deploy, and manage snapshots at scale—without the tech debt and drama.

Let’s break it down 👇

Snapshots = Your Scaling Vehicle

But if snapshots are the car… documentation and strategy are the fuel.
Without them, you’re just spinning in circles, shouting “why won’t this workflow fire?!”

Most agency owners mess up not because they’re lazy, but because they’re overbuilding. So here’s how we clean that up:

Tip 1: Design for the Customer Journey, Not Feature Bloat

One of the best nuggets from the call was this:

“Your customer doesn’t know the customer you think they are.” – Michael

🔥 Read that again. 🔥

Instead of stuffing everything into one mega-snapshot, focus on solving a very specific problem for a very specific audience. Ask yourself:

  • What’s their biggest pain point?
  • What result do they want fastest?
  • What action do they need to take first?

Then build only what supports that. Not the “someday” feature. Not the shiny integration no one asked for.

Think: modular snapshots. Think: repeatable wins.

Tip 2: Stop Overengineering. Start JIT-ing.

I’m obsessed with this: JIT Development (Just-In-Time).
It’s the antidote to perfectionism and snapshot sprawl.

You don’t need to build everything now. In fact, you shouldn’t. Build what matters today. Improve tomorrow. Rinse, repeat.

Why?

  • You avoid scope creep.
  • Clients launch faster.
  • You stay sane.

Overbuilding is like packing for a weekend trip like you’re moving to Mars. Keep it light. Keep it lean.

Tip 3: Get Clear on Your North Star Before Scaling

Mario dropped a banger during the session:

“If you don’t define the mission, your snapshot becomes a dumping ground.”

Amen. If you’re not sure what your snapshot is for, your team won’t be either—and every new feature request turns into a debate.

So before you scale anything, ask yourself:

  • Is this snapshot about onboarding? Conversions? Fulfillment?
  • What result should it guarantee for the user?
  • Are we building for growth or just tech flexing?

Once the goal is clear, every workflow, form, and trigger either aligns—or it doesn’t belong.

Bonus Tip: Don’t Do This Alone

If you’re trying to scale HighLevel snapshots but you’re buried in bugs, bloated builds, or unclear strategies…
