The Secret Sauce? Better Prompts = Better Bots
If you’ve ever typed “help me write a chatbot prompt” into ChatGPT, only to get a confusing spaghetti mess of output… you’re not alone.
AI isn’t magic, it’s literal.
And a bad prompt is like giving directions to a toddler holding a map upside down.
Here’s what actually works when prompting HighLevel’s AI:
✅ 1. Be painfully clear.
The AI isn’t here to “figure it out.” It’s here to follow instructions. Write your prompts like you’re giving step-by-step instructions to an intern on their first day. Don’t skip steps. Don’t assume it knows what you mean. Spell it all out.
✅ 2. Long isn’t wrong.
Short prompts are NOT better. They’re just… vague. And vague = broken flows. If your instructions take five paragraphs, give it five paragraphs. As long as you’re giving it the full context, you’re doing it right.
✅ 3. Bake in escalation.
This is the magic move. Include rules like:
👉 “If the customer uses angry or urgent language, immediately route them to a human agent.”
Now your bot knows when to say, “Hold up, I’m calling in backup.”

Here’s my checklist for a clean, client-ready setup:
🗂️ Centralize training data
Don’t make your bot read your whole website. That’s like asking it to memorize an encyclopedia. Create one focused doc with the key stuff: FAQs, services, prices, etc.
📈 Refine using real chat history
Want to know what your clients actually ask? Go read past convos. Find the friction. Plug those gaps into your training data.
🧪 Test. Break it. Fix it. Repeat.
Run mock conversations until something breaks. Then fix it. AI isn’t plug-and-play, it’s test-and-improve.
Let’s Talk About That Dog Bot
One of my favorite builds was for a dog grooming business. We gave the bot a warm, friendly tone with playful puns like:
“Sounds pawsome! 🐾 What breed is your furry friend?”
But behind the cuteness was a super-functional qualification flow:
- “What breed is your dog?”
- “Does your dog have any special care requirements?”
- “Is this their first grooming appointment?”
These questions prepped the client and the groomer before the appointment was even booked. Fewer calls.
Fewer no-shows. More wagging tails.
Big Picture: AI Is a Team Member, Not a Toy
Here’s the truth:
AI won’t fix your broken business processes.
But it will amplify whatever you feed it good or bad.
If you take the time to train it well, it can become your MVP. But if you wing it, it’ll frustrate your leads and hurt your brand.
So treat your bot like a new hire. Give it a role. Train it intentionally. And keep refining.
Your clients will feel the difference and your calendar will fill up faster than a labrador at dinnertime.
